SMTP/IMAP Email Integration in Task Session

Connect Custom Business Emails with Task Session

Task Session allows you to connect custom business email accounts using SMTP and IMAP. This option is best for users who are not using Gmail or Outlook and want to connect emails from cPanel, FastHost, Zoho, private mail servers, or other custom email providers.

With SMTP/IMAP integration, you can send emails, sync inbox messages, manage conversations, and keep client communication inside your Task Session CRM.

When Should You Use SMTP/IMAP?

Use SMTP/IMAP integration if your email account is hosted on:

cPanel email
FastHost email
Zoho Mail
Custom domain email
Private mail server
Any provider that supports SMTP and IMAP access

SMTP is used for sending emails, while IMAP is used for reading and syncing inbox messages. Both settings must be configured correctly for complete email functionality.

Required SMTP/IMAP Details

To connect your email account, you will need the following details from your email provider:

Email address
SMTP host
SMTP port
SMTP security type
SMTP username
SMTP password
IMAP host
IMAP port
IMAP security type
IMAP username
IMAP password

Most email providers display these details inside their email settings, hosting panel, or mail client configuration page.

Common SMTP/IMAP Configuration Example

For many custom domain emails, the setup may look like this:

SMTP Host: mail.yourdomain.com
SMTP Port: 465
SMTP Security: SSL

IMAP Host: mail.yourdomain.com
IMAP Port: 993
IMAP Security: SSL

Your username is usually your full email address, such as [email protected].

Important Note

Sending and syncing emails are separate operations.

SMTP handles outgoing emails.
IMAP handles incoming email sync and mailbox reading.

If emails are sending correctly but inbox sync is not working, the issue is usually related to IMAP host, port, password, or security settings.

First Sync Checklist

After adding your SMTP and IMAP details, enable email sync from Task Session settings. Select the folders you want to sync, such as Inbox and Sent, then run a manual sync.

Make sure:

New emails appear in the inbox
Email threads open correctly
Replies are sent successfully
Sent emails are syncing properly

Troubleshooting SMTP/IMAP Issues

If inbox sync fails, check your IMAP host, port, username, password, and security type. Also confirm that your hosting server allows outbound IMAP and SMTP connections.

If sending fails, verify your SMTP host, port, sender email, password, and encryption type.

If sender names are missing, some providers may only return the email address through IMAP. In that case, Task Session may display the name based on the email address.

Security Best Practices

Use a strong email password.
Enable SSL or TLS where available.
Keep your mail server settings updated.
Do not share email credentials with unauthorized users.
Review email activity logs regularly.

Final Words

SMTP/IMAP integration is a flexible option for connecting custom hosted emails with Task Session. Once the SMTP and IMAP settings are correctly added, your team can send, receive, and manage business emails directly inside the CRM
